Capybase CRM Window cleaning

Round software for
window cleaners.

A dense round, cash and card mixed, one van and a helper on Fridays. Capybase books the round once, repeats it forever, and turns every finished visit into an invoice before you have got the ladder back on the roof.

£25/month Everything included, and your helper does not cost extra.

The round

Book it once. It comes back on its own.

Four-weekly, eight-weekly, one-off.
Set a frequency against the property and it repeats without you touching it again. Month, week and day views, with what each day is worth on it before you set off.
The gate code lives with the house.
Access notes, keys, alarm codes and where the outside tap is, kept against the property rather than in your head or on a note in the van.
A waiting list for the next street.
When someone on the round drops off, the people who asked and could not be fitted in are already written down, sorted by where they are.
The money

Cash and card in the same ledger.

A window cleaning round is the awkward case: some pay by card the same day, some leave it under the mat, and some are three visits behind. If those live in different places you never know what you are actually owed.

Finished visits become invoices
Priced from what you charge that property, dated, and ready to send. The visit you did on Tuesday is not still unbilled in March.
Card through your own Stripe
A pay page in your colours and logo. Stripe handles the card, the money goes to your bank, and the invoice marks itself paid.
Mileage, at the HMRC rate
Logged off the round automatically and worked out for you. On a dense round it is usually the biggest thing people forget to claim.
One number for what you are owed
Overdue, sent and draft in one list, so chasing is a five-minute job on a Friday rather than an evening with a notebook.
The helper

Your helper gets the day on their phone.

The crew app shows the addresses in order, the access notes and what is being done. They tick visits off as they go, and their hours and holiday come through to the Friday pay run without a text message in sight.

Everyone you take on is included. There is no per-user charge, so a second pair of hands in the summer does not change the bill.

Questions

What window cleaners ask.

Does the round repeat on its own?

Book a visit once with its frequency and it keeps coming back. There are month, week and day views, and each day shows what it is worth before you set off.

Can I take cash and card on the same round?

Yes. Card goes through your own Stripe account on a pay page in your colours, and the ones who leave it under the mat get marked paid on the visit. Both end up in the same ledger, so the outstanding figure is the real one.

Does my helper need their own login?

They get the crew app with the day's addresses on it, and it does not cost extra. The price is £25 a month however many of you there are.

Does it work out my mileage?

It logs it from the round automatically at the HMRC rate and works the claim out for you, which on a dense round is usually the largest single thing people forget to claim.

What do I hand my accountant at the end of the year?

A Sage export and monthly summaries, rather than a carrier bag of receipts. Expenses are already sorted into categories your accountant recognises.

Is it only for window cleaners?

No — this page is just the window cleaning end of it. The main page covers gardeners, cleaners, electricians, plumbers and handymen, who all work the same way: book the job, do it, bill for it.
